Getting Started
License Maxing finds the licenses your organization pays for but doesn't use — inactive users, oversized plans, and seats held by people who have left — and gives you the tools to reclaim them.
What you need
- A Microsoft 365 tenant.
- A user who can grant admin consent for the tenant (Global Administrator or an admin your Global Admin can loop in for a one-time approval).
- An invitation to a License Maxing organization, or a new account of your own.
1. Sign in
Go to app.licensemaxing.com and sign in with your work email. If your organization already uses License Maxing, ask an owner or admin to invite you first — access is invitation-based, so signing in without an invitation won't attach you to an existing organization.
2. Connect Microsoft 365
From Settings → Microsoft 365, start the connection flow. You'll be redirected to Microsoft to grant consent for read-only reporting permissions (see Connect Microsoft 365 for the exact permission list and what each one is used for).
3. Run your first sync
Once connected, a sync runs automatically on a schedule; you can also trigger one from the dashboard. The first sync pulls:
- Your license inventory (SKUs, assigned counts, unit costs where available)
- Your user directory and license assignments
- Usage activity for mail, Microsoft Teams, and OneDrive
4. Review what you're wasting
Head to the Calculator to see ranked savings opportunities — seats to reclaim from inactive users and plans that can be downgraded — priced against your actual seat counts. The Reports section breaks activity down by workload, department, and user.
Next steps
- Invite your team so the right people can act on findings.
- Create a savings plan to execute downgrades and reclaims.
- Set up offboarding for departing contractors.
